Empowering COFIDIS in Revolutionizing its Facility Management Strategy
In 2022, as COFIDIS faced the imminent transition to the Natura Towers in Lisbon—a newly purchased and extensively refurbished building set to accommodate approximately 750 employees within its expansive 10,400 m2 premises — the need to reassess its Facilities Management strategy and processes became apparent. Recognizing this pivotal juncture, COFIDIS enlisted the expertise of PROCOS Group to navigate this transformative phase and optimize its Property and Asset Management framework.

As of December 2023, the company employs 705 professionals, oversees a substantial portfolio of €2,753.4 million, and serves over 500,000 customers with a commitment to fostering sustainable and personalized relationships. Central to its mission is the enhancement of customers' quality of life through the development and management of innovative credit products.
A comprehensive analysis
Collaborating closely with COFIDIS's FM team, PROCOS Group embarked on a comprehensive analysis of the existing infrastructure and operations (AS IS). This meticulous assessment facilitated a clear understanding of current requirements and paved the way for delineating the envisioned future state (TO BE) in alignment with the European standard EN15221 for Facility Management
Setting up the strategy!
Following the approval of the proposed strategy and the identification of essential internal and external services, PROCOS Group, in tandem with COFIDIS, outlined the scope of service provision by third-party vendors, which encompassed:

Conducting a survey and updating of Fixed Assets, along with Patrimony Asset Accounting adjustments.

Provision of a state-of-the-art software platform for Integrated Asset and Maintenance Management.

Delivery of Preventive and Corrective Maintenance services, alongside other pertinent tasks related to property upkeep and infrastructure maintenance.
A thorough market analysis
PROCOS Group spearheaded the launch of three tender processes to select the most suitable service providers, meticulously crafting all requisite documentation, including Tender Specifications, supplementary Annexes, Technical and Financial response templates, and Evaluation Matrices. The technical evaluation of proposals submitted by prospective bidders was conducted with precision, leveraging specific criteria, calculations, and models tailored to the project's unique requirements. This unwavering support proved instrumental in facilitating an informed decision-making process, with COFIDIS's procurement team benefitting from invaluable insights into best practices in technical bid evaluation.
New methodologies in place
Under the guidance of PROCOS Group, COFIDIS adeptly managed the project timeline, successfully awarding successive service contracts over a span of 10 months. Concurrently, new methodologies were implemented within the in-house management Hard and Soft Service management team to adapt to the evolving demands of overseeing the group's operational properties.
Smart decision making
With the transition to new headquarters seamlessly executed and state-of-the-art facility management methodologies firmly in place, COFIDIS emerged triumphant, armed with enhanced tools for supplier oversight, executive reporting, benchmarking, and decision-making—aligned with international standards and industry best practices.
